6 Tips and tricks to organize a successful partner meeting

If you have decided to participate in Erasmus + and you have already found a good partner for this project, you have to get ready for the first meeting. In order to hold a successful meeting, you have to have a good preparation. This article will give you some tips and tricks how to organize a successful partner meeting.

Here are the main steps to follow:

  1. Agree the date and the time of the meeting. They should be suitable for the both sites. It is better to organize the meeting in the first part of the day when you are still fresh and full of force, enthusiasm and brilliant ideas. Don’t plan your meeting late in the evening, as you will be exhausted and the discussion will not be fruitful. Mind a possible time difference. Synchronize your watches.
  2. Exchange your Skype contacts and agree that you will have a Skype call. If you cannot use Skype agree another option for the online meeting. If you have a possibility to organize a personal meeting, agree on the place. If your partner will come to you, organize the logistics for him or her and don’t forget about the transfer from the airport or hotel to the venue. Book a room in your University or outside of it for this meeting.
  3. State the purpose of the meeting beforehand. Let your partner know the main points you want to discuss during your meeting and ask him or her to prepare the list of questions. Prepare your own list of questions you want to discuss. A good preparation is a half of success of your meeting.
  4. Check the Internet connection and the work of the devices which will be needed (e.g. your PC, microphone, headphones, speakers, etc.) for your Skype call. If it is a personal meeting, make sure that the venue is properly organized for this purpose. It would be nice to have water, coffee, tea and some snacks in the room in case you will have a long meeting.
  5. Make sure nobody disturbs you during the meeting. Don’t forget to mute your mobile phone.
  6. Remember that the purpose of the meeting is to discuss your future project and to define your next steps and set clear deadlines.
